Navigating the New Normal
The health and safety of our Members remains our top priority. None of us have ever experienced a situation like this. The Novel Coronavirus (COVID-19) pandemic has affected everyone, and will define a new normal as we move forward. Together we can minimize the impact of the pandemic by each doing our part as we reenter the workplace. Here’s how we’re responding:
Heightened cleaning and safety protocols
We've increased our cleaning scope and frequency throughout all facilities as well as implemented new measures to ensure our team and community prioritize safety and remain comfortable in our spaces.
Personal protective equipment (PPE)
Our Plexpod team will be equipped with masks. Masks will also be available for purchase by the member community, if desired.
Amplified sanitization
We are introducing sanitizing dispensers across all locations to minimize touch points and will also have additional sanitizing options readily available for use by our member community.
Social Distancing Emphasis
We've adapted our facilities and member relations to ensure that our spaces can comfortably accommodate our members by placing an emphasis on social distancing and limiting in-person interactions.
De-densified commons areas
We've redesigned our commons areas to ensure adequate personal space for those coworking in our facilities.
increased virtual communication
We've adapted our member outreach to ensure virtual communications are being used when ever possible. We encourage our members to touch base with our team through our virtual platforms readily available as well to mitigate in-person interaction.

We've installed signage to ensure that all members are aware of our community's Workplace Reentry Plan. Visual cues are available to encourage adequate safety measures based on recommended health guidelines.
New Health & Safety Measures
Front Desk & Reception Areas
Our Plexpod Team will continue to provide front desk services during our regular business hours Monday through Friday from 8:30am to 5:30pm. Please note Plexpod front desk services will be closed during lunch hours from 11:45a - 1:15p, our team will be offsite and all doors will be locked. The Plexpod team will still be accessible electronically during these hours, via phone (1-844-753-9763), or email. We encourage everyone to communicate with our team electronically whenever possible to minimize physical contact. Given this can be a high traffic area, we've added glass partitions at each of the front desks at all locations along with decals to serve as visual reminders to remain 6 feet apart. Please ensure to stand in front of the partition when talking to front desk personnel.
Guests
All guests will still be required to check-in at the front desk upon arrival and check-out when leaving with new social distancing measures. We’ve created a virtual “Guest Check-in” form that lives on our website. All guests are required to fill out this short form prior to coming onsite and we ask that members alert our team when you are expecting a guest.
Commons Areas
We are focused on de-densifying our commons areas to ensure safe social distancing measures. We've created and posted visual guidelines throughout our spaces that identify appropriate seating guidelines.
Social distancing calls for six feet of separation between people at all times. When entering an area or room, please note those already seated and find a seat accordingly.
If no seats are available in the existing configuration, it is reasonable to ask others to move in order to create additional seats and more efficient use of the space.
Fitness Areas
Fitness areas are open for member use.
Meeting Rooms
We want to ensure members can continue to connect and collaborate safely in shared spaces.
We've implemented pre-distanced seating guidelines that will be available in each meeting room.
Enhanced disinfecting measures have been implemented throughout all facilities and sanitizer dispensers will be located in strategic locations.
Restrooms
We have increased our cleaning measures and frequency for all restrooms. Hygiene signage and social distancing visuals will be in place to ensure everyone follows recommended best practices.
HVAC Systems
Plexpod is working with professionals and implementing steps to ensure the delivery of clean air quality throughout our facilities.
Elevators
We've implemented signage and visual decals to ensure social distancing in our facilities with elevators. We encourage everyone to be mindful of others and limit capacity to one individual at a time. We encourage those who are able to utilize the stairs.
Print Stations
Hygiene signage and social distancing signage will be placed in all print areas to reinforce safety guidelines along with the implementation of interval cleaning of print stations throughout the day.
Mail & Package Delivery
Plexpod will continue to receive mail each day at all locations and Plexpod staff will continue to deliver mail daily between 3-5 pm to all companies with dedicated space. Any member with a Virtual Membership will be able to pick up their mail during business hours Monday through Friday 8:30 am - 11:45 am and 1:15 pm - 5:30 pm.
Kitchens
We are de-densifying kitchens and providing alternative solutions to meet health and safety guidelines. We are introducing disposable cups and cutlery in all kitchen areas for members to utilize. Hygiene guidelines and social distancing signage are in place as well.
Coffee Stations
Plexpod will continue to offer complimentary coffee during our regular business hours with increased safety measures in place. This will be designated to one area with social distancing visuals to avoid overcrowding.
Face Masks
Plexpod is no longer requiring individuals to wear masks in line with the most recent guidelines. All Plexpod staff will continue to carry a mask with them at all times. Should someone approach wearing a mask, Plexpod team members will put on a mask as a sign of respect for the wellbeing of others. We call this the "Do Unto Others" approach, and we would encourage everyone to be respectful of others.
Moving Forward
This experience will define a new normal for all of us as we move forward. Our team is dedicated in doing our part to provide a healthy, safe work environment for everyone and we will continue to ensure our policies and standards remain in line with recommended guidelines. We encourage all member companies to do the same within their own organization as this will be a collective effort to ensure everyone's safety in our community.
It’s the collective power of community that enriches and defines the essence of Coworking, and even though we face a new normal, we are empowered knowing that community, collaboration and human connection remains intact and we will navigate the future together.
